How to connect a calendar or other booking system

As SoulAdvisor is a booking platform, it is important to keep your availability up-to-date to receive client appointments. 

This is done by ensuring that your working days and hours on your profile remain current AND by setting up two-way syncing between SoulAdvisor to your other external calendar/s or booking platform.

How does two-way syncing work?

Two-way syncing is constantly running in the background so that when a booking is added to one of your calendars (for example, your personal calendar or clinic calendar), it updates and blocks off the time in your other calendars (for example, your SoulAdvisor calendar).

Any appointments in your other calendar/s will show as ‘busy’ and your SoulAdvisor clients will not be able to schedule an appointment with you at that time.

Why should I set up two-way syncing?

Two-way syncing will help you:

  • Stay organised: You’ll have a clear view of your day in one place without having to flip through multiple calendars.

  • Manage your availability and reduce double-booking anxiety: You’ll only need to update one calendar for it to be recognised in the other calendar as a ‘busy’ time.

  • Keep your other calendar activities private: Your clients will never see the reason that your time is blocked off. It will just appear as ‘busy’ to ensure privacy for you and your clients.

How do I set up two-way calendar syncing?

Two-way calendar syncing using Google Calendar (either as a standalone or bridging calendar to other systems) is the simplest and most efficient option as updates occur instantaneously in real-time. 

You can follow the instructions below as a guide for some common systems that are supported by Google:

If you don't want to use Google Calendar, you can use iCal to sync your calendars. Instructions for some common systems are available below:

Note: While Google instantly recognises and syncs the two calendars, some iCal options have a lag time (ranging from 5 minutes to 24 hours). This is outside of SoulAdvisor's control and we have noted these within the set-up instructions where applicable. 

If this applies to your calendar, some workarounds that may assist you include:

  • Consider using 'request booking' instead of 'instant booking' to allow you 24 hours to accept the booking or offer an alternative time to the client

  • The utilisation of the 'advance notice' feature on your SoulAdvisor profile, which you can update under each of your service offerings 

  • Manually refresh your SoulAdvisor calendar or other calendar from time to time, especially if you anticipate a client might be making a booking.
